Workspace developed a role-based time-attendance and workforce-reporting platform for Ustanova DES. From card-reader imports and approvals to monthly summaries and Pantheon exports, the system centralises attendance data and supports accurate payroll calculations.

Intro

Ustanova DES employs over 200 people across multiple production sectors, which makes accurate time-attendance tracking essential for day-to-day operations and month-end payroll. The organisation relied on data from physical card readers, but consolidating, validating and preparing that data for payroll required significant manual effort. The goal was to build a single application that centralises attendance data, supports approvals and exceptions, and produces reliable monthly outputs for payroll.

Challenge

The core challenge was translating real-world attendance scenarios into a system that stays reliable and easy to use for multiple roles, including directors, sector managers, supervisors, HR and legal, finance, and system administrators. The platform needed to integrate with the existing Larus card-reader system, correctly interpret attendance events, and support exceptions such as sick leave, late arrivals, early departures and justified absences. In addition, month-end processes required structured exports compatible with Pantheon, while maintaining strong access control, auditability and consistency across departments.

Solution

Workspace delivered a time-attendance platform built around role-based access and a clear monthly workflow. Attendance data is centralised from Larus card readers, enriched with business rules and exception handling, and reviewed by authorised users through an intuitive UI. Finance and HR teams generate monthly summaries, validate working hours and export structured data for Pantheon payroll processing, reducing manual work and increasing confidence in the final calculations.
